Biometrics and fingerprint enrolment, document submission windows, consulate and embassy interview slots, residence permit collection, registration appointments after arriving in a new country, and the renewal dates that follow once a permit is issued.

These are typically confirmed by an email that sinks in an inbox within a week of arriving.

Track the permit as well as the appointment

The appointment is one date; the permit or visa it produces is another. Add the expiry of a residence permit, visa or travel authorisation as a separate item with reminders at six months, ninety days and thirty days, because renewals often have to start long before the document runs out.

A passport with fewer than six months of validity can also derail an application or a trip, so keep that date on the list too.

• Appointment date, location and confirmation reference
• Notes listing the documents named in your confirmation email
• A separate reminder for the permit or visa expiry that follows

Preparation is the real work

Certified translations, photographs to specification, bank statements covering a set period and appointment confirmation printouts all take time to assemble. A reminder thirty days out with your own checklist in the notes is worth more than any alert on the morning itself.
